A virtual assistant hire usually fails for a reason nobody sees coming, and it’s rarely the assistant. The person is fine. What breaks is everything wrapped around the hire: the sourcing, the daily managing, the retaining, the overseas payroll.
Owners walk in thinking they have a hiring problem, get a decent person, then slowly drown in three jobs nobody told them they’d inherited. That’s the pattern I built my company to interrupt, because every one of those jobs is something you shouldn’t have to do yourself.
The failure comes after the hire. Almost everyone treats this as a hiring problem: find a good person, and you’re set. That’s not where it comes apart. You spend hours interviewing strangers you can’t really evaluate, pick one, and suddenly you’re their manager, trainer, HR, and payroll company at once, while still running your business. Meanwhile, the assistant sits alone in another country, gets isolated, and leaves, so you start over. Owners who’ve lived that cycle often conclude the model is broken when really it was the support around the hire that failed, not the person.
A seasoned team does the vetting. The first job you shouldn’t own is finding the person. Most services hand you a pile of résumés or six strangers on a Zoom and make you choose. My own team does it instead. My recruiters are experienced professionals in the Philippines with 15 years of management experience, so they spot talent in their own market that an outsider never could. We review around 100 résumés, interview roughly 15 people, and bring you a single match who starts Monday. You sit through zero awkward interviews, which is a world apart from the usual advice on how to hire a virtual assistant.
A daily buffer catches problems. The second job you shouldn’t own is managing the person every day, and it’s the one that quietly wears owners down. When you hire us, we become the management buffer, running a start-of-day check-in on what they’re working on and whether anything is unclear. We aren’t training them on your business, just keeping the work clear and moving. The subtle part matters most. If your assistant is ever unsure, they come to us instead of freezing or guessing, and we can tell a real skill gap from unclear instructions. That removes the most stressful dynamic in these relationships: the assistant who’s too afraid to admit they’re stuck.
Community and real pay keep them. The third job you shouldn’t own, and the one I care about most, is being an entire workplace for one person, because you can’t. A lone assistant in another country has no co-workers, no culture, no one to ask about their weekend, and people need to belong to something. They leave, and you’re back to square one. Ours don’t work alone; they join a community of dozens, with team huddles, real co-workers, fair paid time off, and paid holidays. We run payroll so you never touch it and give the assistant real security about being paid, because genuine time off and support keep good people. When I traveled for over a month recently, I never checked in on my own assistants; they were checking in on each other.
You bring the role. Hiring a great assistant was never the hard part; everything around it is. The finding, the managing, the retaining, and the paying are each jobs you shouldn’t do yourself. Taking all of them off your plate is the entire reason my company exists.
